Plain-language information about how Toronto Film Extras handles the details you send us.
What we collect
When you apply for representation you send us your name, telephone number, email address, photos and measurements, and — if you are under 18 — a parent or legal guardian's contact details. If you join the roster, we also hold the information needed to book you and to administer membership and commission payments.
Why we use it
We use this information to assess your submission, to represent you to casting directors and productions, to contact you about bookings, and to administer membership and accounting. We do not sell your personal information.
Who sees it
Casting directors and production companies see the performer information they need in order to consider and book you. Background performers are also required to hold an account with BG4Hire, a separate third-party casting database with its own terms and privacy practices. Payment information you send by e-transfer is handled by your own bank.
This website
The application form on this site submits your details and uploaded files directly to Toronto Film Extras, where they are stored securely and used only to assess representation. Links to external websites such as ACTRA Toronto, BG4Hire, Ontario Creates and the Government of Ontario are provided for convenience — those sites are governed by their own privacy policies.
Keeping and removing information
We keep submissions and roster information for as long as it is needed for representation and for our accounting and legal obligations. You can ask us to review, correct or remove your information at any time.
